Your evidence can help the community without making your private details public.

1. Who is responsible

ActualFleet is a fleet-research and forecasting service operated by Mulberry Cosmetics Ltd. For privacy questions or requests, email contact@actualfleet.com.

2. Information we collect

Google sign-in and contributor accounts

If you continue with Google, our authentication provider receives the basic account information Google returns for sign-in, such as your Google account identifier, email address, name, and profile metadata. We do not receive your Google password, read your Gmail, access your Drive, or request your contacts.

Reports, scans, and media

We collect the rental and fleet details you submit, optional notes, your selected public display name, attribution preference, contact email where requested, share links, photos, videos, filenames, file types, and submission and review timestamps.

Contact and technical information

We collect messages you send us. Our hosting and security providers may process your IP address, browser or device information, request logs, and similar technical data. ActualFleet also creates a salted one-way digest from network and browser signals to limit automated or abusive submissions.

3. What can become public

A submission is private while it is reviewed. If you choose public attribution and the submission is approved, we may publish your chosen display name, contributor profile, earned badges, approved contribution details, and approved media credit. We may also publish approved evidence anonymously.

We do not publish your email address, Google account identifier, private upload token, rate-limit digest, reviewer notes, rejected material, or unapproved original files. We may crop, blur, or withhold media to protect people, license plates, documents, or other sensitive details.

4. How we use information

• Authenticate contributor accounts and preserve credit across devices.
• Review, verify, deduplicate, and organize fleet evidence.
• Produce aggregate forecasts, research, photos, and methodology explanations.
• Assign optional public attribution and contributor badges.
• Respond to questions, corrections, privacy requests, and rights concerns.
• Protect the service, enforce rate limits, investigate abuse, and meet legal obligations.

Community uploads are not automatically sent to an AI model when submitted. If a reviewer later uses automated tools on selected evidence, we minimize personal information and restrict the material to what is needed for fleet analysis.

5. Service providers and transfers

We use service providers to operate ActualFleet, including:

• Google for sign-in and business email.
• Supabase for authentication, database services, and private file storage.
• Vercel for website hosting, delivery, and technical logs.
• OpenAI for selected, reviewer-initiated fleet research or evidence analysis where used.

These providers may process information in the United States and other countries under their own security and data-processing commitments. We may also disclose information when legally required, to protect rights or safety, or in connection with a business reorganization. We do not sell personal information or use it for behavioral advertising.

ActualFleet's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

6. Retention

We keep account and profile information while your contributor account is active. We retain approved evidence and related audit records while they support the accuracy and integrity of our research. Rejected, duplicate, or unusable private material is deleted or de-identified when it is no longer reasonably needed for review, security, dispute handling, or legal obligations. Provider security logs follow the providers' configured retention periods.

7. Your choices and rights

You can submit without an account and can turn public credit off for a signed-in contribution. You may ask us to provide, correct, delete, or restrict personal information, withdraw public attribution, or object to a use by emailing contact@actualfleet.com. We may need to verify your identity before acting on a request.

If your contributor account is deleted, its public profile and attribution are removed. Verified fleet facts and aggregate results may remain as anonymous evidence where permitted by law and necessary to preserve research integrity.

8. Security and children

We use private storage, access controls, short-lived file links, human review, and other safeguards appropriate to the service. No online system is completely secure. ActualFleet is not directed to children under 16, and we do not knowingly create contributor accounts for them.

9. Changes and contact

We may update this policy as the service changes. We will post the new version and effective date here, and request fresh consent where a material change requires it.
